What is a termination letter and when do I need one?

A termination letter is a formal written notice to an employee that their employment is ending. In Canada, you are legally required to provide written notice (or pay in lieu) for most terminations without cause. Even where not strictly required, a written letter protects you by documenting the termination date, notice provided, and final pay details.

What's the difference between termination without cause and with cause?

Termination without cause means you're ending the employment for business reasons — restructuring, role elimination, or simply not working out — with no misconduct involved. You owe notice or pay in lieu. Termination with cause means the employee committed serious misconduct (theft, harassment, insubordination) and you're ending employment immediately without notice. Cause is a high legal bar in Canada — consult a lawyer before terminating for cause.

Does this letter replace a Severance Agreement?

No. The termination letter notifies the employee of the termination and documents the statutory minimums. A Severance Agreement is a separate document where the employee releases all claims against you in exchange for enhanced severance above the statutory minimum.
